Update Payment Conditions ePack > Visma


Payment Conditions are being maintained in ePack. It will not matter what is on the client/supplier file in Visma, as flows will overwrite the payment conditions in Visma with what is configured in ePack.

1)      Linked to parameter:

ð  In these accountings you can maintain payment conditions per entity.

 

2)      Sales – Clients

a.      Payment conditions of clients are checked (and forwarded to Visma – sales order) when Sales order is sent from ePack to Visma.

b.      Sales orders with 2 different payment conditions will give 2 different sales invoices when processing via process order screen.

c.      Payment reminders are linked to payment conditions on the invoice > not an issue that payment conditions on client file differ from what’s on the invoice.

 

3)      Purchase – Suppliers

a.      Payment conditions of suppliers are checked (and forwarded to Visma – purchase invoice(/order)) when the invoice ‘is created’ in Raptor.

                                                              i.      Same for ‘ePack-invoices’ and ‘dashboard-invoices’.

b.      Changing date or adding payment conditions in purchase invoice control in ePack will not influence payment terms in Visma – supplier file in ePack is master.

c.      In purchase receipts – financial data, the payment terms can be wrong. However, on purchase invoice (and order) it will always be correct > therefore this should not create any issues.

                                                              i.      Payment conditions only open when you thick on the ‘create invoice’ box – see yellow on screenshot- , however with our flows we do not tick on this box as the invoice is already created.

4)      NOTE - Manual interventions might be needed in cases below!

a.      Payment conditions MUST be checked:

                                                              i.      When creating a CN in Visma > Sales order type CM, the payment conditions of the client file in Visma will be taken.

                                                             ii.      When creating a sales invoice in Visma (FE non ePack entity or template sales invoice) > the payment conditions of the client file in Visma will be taken. 

                                                           iii.      When making a ‘credit correction’ of a purchase invoice > the payment conditions of the supplier file in Visma will be taken.

                                                           iv.      When manually creating a purchase invoice (FE after correction on ePack purchase invoice and an new invoice needs to be booked > here the ‘create invoice’ box will need to be clicked on (see yellow in screenshot of 3.c.i))  > the payment conditions of supplier file in Visma will be taken.

b.      Payment conditions MIGHT be needed to check:

                                                              i.      When a correction sales invoice is created, by copying the original sales order (and then doing the changes) -> payment conditions of original sales order will be taken.
